A Microsoft Teams integration can make leave information easier to reach, but the integration should remain an interface to your leave system—not a second source of truth. Start with a narrow workflow, verify its security boundaries, and expand only after people have used it successfully.

Decide what the integration must do

Write down the smallest useful workflow before choosing or installing anything. Common options include:

  • checking a leave balance;
  • opening the system’s leave-request form;
  • notifying a manager or selected channel; and
  • showing a daily or weekly absence summary.

Treat in-chat request forms, approval cards, calendars, and automatic status changes as separate capabilities. A product that sends notifications does not necessarily support those workflows.

Check the security model

Ask the provider to explain how it:

  1. authenticates each Teams request;
  2. maps the Microsoft tenant and user to the correct company and employee;
  3. limits Microsoft permissions;
  4. encrypts and rotates credentials; and
  5. prevents a repeated activity from creating the same action twice.

Your Teams administrator should review the requested permissions before consenting. Test with a non-production tenant or a restricted pilot group first.

Keep one system of record

Leave balances, policies, requests, approvals, and audit history should remain in the leave-management system. Teams can provide shortcuts and notifications, but it should not become an independent record that can drift from the web application.

Pilot before organisation-wide rollout

Use a small group that represents employees, managers, and administrators. Verify every advertised action in Teams desktop, web, and mobile, including:

  • installation and sign-in;
  • tenant and employee matching;
  • balance lookup;
  • links back to the correct company and request form;
  • configured channel summaries;
  • duplicate-message handling; and
  • revoke, reconnect, uninstall, and reinstall behaviour.

Record which workflows are proved and which still return users to the web app. Update internal onboarding material to match that tested scope.

Leave Balance availability

Microsoft Teams support for Leave Balance is currently a limited, invite-only pilot. There is no public Teams Store install or general-availability date. Candidate pilot workflows are confirmed during onboarding; leave requests and approvals continue in the Leave Balance web app.

Request pilot access if you want us to assess your tenant and workflow. Applying does not start a subscription or guarantee eligibility.
